The Association offers a simple and affordable tool to help your agency manage data. KIDS (Kids Integrated Data Systems) is software that has been designed by human service professionals for human service agencies

KIDS got its start in 1996 when the South Carolina Association of Children’s Homes and Family Services and Child & Family Services Association–North Carolina joined together to develop sophisticated client information management software. Since that time the software has been further developed—at a cost of over a million dollars —in order to meet Association members’ needs for a reliable and cost effective solution for data management. Its value has been recognized by agencies outside the two states that have become KIDS users.
Although KIDS software was initially designed to meet the needs of residential child care programs, it has been expanded and is also being used by adoption agencies, maternity homes, foster care agencies, day care programs, and other types of human service agencies as well.

KIDS software has three modules: 

KIDS Clients is a comprehensive client information database. KIDS Connections is a comprehensive fund development database. KIDS Collections is a comprehensive billing program. Each module is largely user editable for ease of customization, incorporates a user database for storage of custom reports and forms, and is network ready.

KIDS Clients

is a client management program designed to help your agency manage the complex tasks associated with information management in the human service environment. The objective is to manage relevant data that can be used to support daily operations, program evaluation, and short– and long–term planning.

This module is a comprehensive system developed specifically to support care providers. It was designed to satisfy a wide range of needs. The system can be used in an abbreviated form or it can be used to provide great levels of detail. You choose the level that satisfies your requirements.

The software permits the efficient entry, reporting, and analysis of information associated with the assessment, placement, care, discharge, and follow-up of individuals and families. Users can define their own codes to meet their agency’s needs.

Clients gives you the richness you need to implement the system your agency desires.

Tracks data on individual clients, siblings, foster care homes, adoptive homes, and residential care facilities.

Provides data entry forms for inquiries, referrals, placements, academics, medical, and case management.

Allows for detailed quality assurance date tracking on: agency statistics, referral assessment times, service logs, discharge types and nature, training analysis for personnel, employee screenings, and other key indicators.

KIDS Connections

is a complete set of tools to assist in the planning, implementation, management, and analysis of fundraising campaigns. This module is a comprehensive, multi-function package that supports many varieties of income-producing activities undertaken by nonprofit organizations.

This easy-to-install module provides users with independence, effectiveness, and productivity. It is designed for easy operation and support.

Connections provides the tools required for:

  • development

  • prospecting

  • solicitation

  • recording of gift and pledge transactions

  • acknowledgement and receipting

  • batch posting to accounts receivable

  • data management and storage

  • analysis of donations

KIDS Collections 

is a HIPAA-compliant billing software package that integrates with KIDS Clients and allows your agency to bill for services it provides. It allows you to check service plans prior to releasing a record for billing, eliminates the need for duplicate entry, and ensures the accuracy and integrity of your client data.

This module will bill for per diem as well as for incidental services. Paper invoices may be generated from Collections for mailing, or data may be electronically submitted for billing, including billing for Medicaid.

A variety of reports are offered in the Collections module, including: 

  • aging reports

  • authorized outstanding invoices

  • unposted invoices

  • authorized paid invoices

  • invoice statements

  • list of children missing contracts

  • accounts receivable aged invoice report

Technical Notes

Internet-Based KIDS Software

KIDS software modules – KIDS Clients, KIDS Connections, and KIDS Collections – are now offered in an ASP (Application Service Provider) environment. ASP is an internet-based version of KIDS software that can be accessed from any computer with an internet connection, along with the appropriate log-in and password. The web-based version of KIDS software looks and behaves just like the PC version.

KIDS users have the option of continuing to use KIDS software as a PC-based software or transferring to the ASP version. The internet-based versions of KIDS software may be preferred by agencies with multiple locations that need to access a centralized KIDS database. Using the ASP version will reduce client hardware and software requirements, technical support, and the need for client-side database maintenance.

KIDS ASP System Security

Internet Security The KIDS ASP system is protected by a firewall system.

Data Security KIDS data is backed up on a daily basis. The KIDS system is RAID protected for zero-downtime in the event of a hard disk drive failure. Agency data is downloaded each night to a secure password-protected “Agency FTP location.”

Physical Security KIDS data is housed in a cybercenter hosted by Network Technologies International (NTI) in Raleigh, North Carolina. Extensive security precautions are maintained to safeguard the system.

Insurance All hardware is insured against theft or other loss. NTI maintains maintains complete property and flood insurance.

    Hardware and Software Specifications for PC or Network Version

KIDS software will operate on any Microsoft Operating System, Windows 95 or higher. All KIDS modules operate in a Microsoft Access environment.

Latest versions of KIDS operate in Access 2000 or Access XP (2002). KIDS is compatible with network systems, including Novell and Windows NT server.

Recommended workstation: Pentium 233 MHz or higher Pentium-compatible CPU, 64 MB RAM or higher, 200 MB of free disk space.

    Recommendations for Best Performance with Internet (ASP)

Windows 2000 Professional and MS Internal Explorer v 5.5 or greater

Computer/Processor: 233 MHz or higher Pentium- compatible Central Processing Unit (CPU). Windows 2000 Professional supports single and dual CPU systems.

Memory: 128 MB of RAM recommended minimum; more memory improves performance (4 GB RAM maximum).

Hard Disk: 15 GB ATA-100 hard disk with a minimum of 650 MB of free space

Miscellaneous: DSL, cable, or T! connection as required for internet access.
